          DescriptionWith a customer service orientation the Front Office Supervisor will be responsible for registering patients, answering the telephone, preparing the front office for the day, scheduling patient appointments, collecting copays. Authorization experience is also a bonus. Oversight of basic supervisory duties to help the clinic run smoothly day to day.MIVA Medical is a single physician practice in a 100% outpatient endovascular and percutaneous interventional radiology office-based lab (OBL). It is a startup company looking for experienced, well-rounded team players who are excited to build a new service line south of Kansas City. Conditions treated include liver cancer, peripheral artery disease, uterine fibroids, spinal compression fractures, and venous disease.As the practice grows, there is great potential for upward mobility and career advancement.
          EDUCATIONAL REQUIREMENTS:
          • High school diploma requiredQUALIFICATIONS AND EXPERIENCE:
            • Minimum 5 years experience in a medical office and 2 years in a lead or supervisory role
            • Experience with eClinicalWorks EHR is a huge bonus
            • Ability to perform multiple and diverse tasks simultaneously
            • Proven experience handling patients and family members and dealing with conflict
            • Familiarity with scheduling and rearranging appointments
            • Working knowledge of managed care and health insurance plans
            • Experience with pre-authorization
            • Pleasant speaking voice and demeanor
            • Neat, professional appearance
            • Strong written and verbal communication skillsResponsibilities include, but are not limited to, the following:Telephone Answering and Scheduling
              • "Opens" the office each day, according to protocol
              • Answers the telephone pleasantly, and by the third ring as often as possible; routes call or takes message
              • Using a telephone headset and computerized appointment scheduling program, schedules all patient appointments, according to physician-specified protocols; enters key demographic and insurance information
              • Schedules patient appointments: explains to patient which pieces of information they are to bring, provides a range of potential charges for the visit and the patient's financial obligation, provides patients several scheduling options, follows physician-approved scheduling guidelines
              • Prospectively informs all new and established patients about the practice's payment at the time of service policy, and ensures they understand they are to arrive with their referral form, imaging, tests, etc.
              • Informs new patients about the practice's Web site; encourages them to visit, register online, and print a map with directions to the practice OR
                prints face sheet for all new patients scheduled

                mails new patients a copy of registration forms and the practice information brochure
                • Makes patient appointment reminders utilizing EHR messaging system for all appointments and proceduresDaily Preparation
                  • Runs the daily schedules one day ahead - makes a copy for each physician, the nurses, and the front desk
                  • Runs all encounter forms one day ahead of time from the practice management system.
                  • Makes sure all charts for the following day's appointments have been createdCheck-In and Registration
                    • Greets patients as they arrive for scheduled appointments
                    • Provides new patients appropriate paperwork for required signatures (if they have not been pre-registered or have registered online).
                    • Verifies demographic and insurance information for new and established patients, according to protocol; makes a copy/scans of each patient's insurance card, front and back
                    • Enters referring physician names into the computer
                    • Explains financial and collection policies to new patients; provides written guidelines to each patient
                    • Ensures all patient paperwork is complete before patient is seen; puts the chart up for the clinical staff
                    • Informs patients in the reception area when the physicians are running behind; explains delays and if appropriate offers to reschedule themCheck-Out
                      • Collects copays
                      • Post charges and payments to the computer system.
                      • Can explain the background and training of an interventional radiologist.Other
                        • Screens visitors and responds to routine requests for information
                        • Ensures all faxes are cleared off the machine and distributed throughout the day
                        • Sorts incoming reports and directs to appropriate physician
                        • Opens, date stamps, and delivers mail daily
                        • Keeps the patient reception area neat and clean at all times throughout the day
                        • Facilitates any physician requests throughout the day
                        • Maintains patient confidentiality; complies with HIPAA and compliance guidelines established by the practice
                        • Maintains detailed knowledge of practice management and other computer software as it relates to job functions
                        • Assists Cashier with patient payment at the time of service, posting of charges and payments, and scheduling follow-up appointments, as needed
                        • Attends all regular staff meetings
                        • Performs all other tasks and projects assigned by the Manager or Team Leader/SupervisorSupervisory ResponsibilitiesResponsible for:
                          • Day to Day operations of the clinic
                          • Scheduling and payroll oversight
                          • IT support and trouble shooting
                          • Cash handling, credit card reports and basic banking
                          • General office organization and coordination
                          • Billing and Revenue Cycle support with 3rd party biller
                          • Implementation and support of new projects as needed
                            Typical Physical DemandsWork may require sitting for long periods of time, and also stooping, bending and stretching for files and supplies. Employee will occasionally be asked to lift files or paper weighing up to 30 pounds. Position requires manual dexterity sufficient to operate a keyboard, operate a computer, telephone, calculator, copier, and such other office equipment as necessary. Vision must be correctable to 20/20 and hearing must be in the normal range for telephone contacts. Position also requires viewing computer screens and typing for long periods of time, and working in an environment which can be very stressful.Typical Working ConditionsWork is performed in a reception area, and involves frequent contact with patients. Work may be stressful at times. The employee must be comfortable asking patients for money. Interaction with others is constant and interruptive. Contact involves dealing with sick patients.
